Authors need to be able to find the right template quickly &
easily.
If they can't find it they will improvise - they're smart people and don't want

solution provides an intranet interface with a secondary
description that guides authors to make the right template selection.
We've also designed this so it can be easily edited to suit
changing needs.

also provides up to three levels of hierarchy in its Word integrated menu.
This menu reflects the templates that the individual author uses,
so their template selection decision is simplified.

Automating non-discretionary content
A significant amount of text is common between similar
documents, so why re-type it each time ?
Even if you happen to be a fast typist it stills takes extra time & effort to
recreate this similar text each time.
Of course then there's the additional tasks of checking and editing grammar;
spelling and also ensuring that the text really does reflect what you need to
say.

We capture the previous entry for common text elements and then reinstate
these each time that document is created.

templates, we can avoid text re-entry through 'boiler plate text' placed

Even if you happen to be a fast typist it stills takes extra time & effort to
recreate this similar text then ensure it is formatted correctly each and every
time you create a document. Our templates are carefully designed to preset
formatting aspects such as margins, fonts, Word styles and other key formatting
aspects. This allows the author to just get on with the job of creating the core
document content and be confident that the formatting is correct.

Using pre-existing information
The proliferation of computer systems in a contemporary
businesses means that often information that an author may use in a document
already pre-exists.
From a productivity perspective it makes absolute sense for the author to
acquire and reuse this information in their documents, but its a convenience
thing.
If that information is not immediately and conveniently available then the
author is unlikely to be gain a productivity advantage in using it.

Providing document
specific author-assist tools
Authors can be guided through document preparation tasks with
custom designed button bars prepared to suit the document being created.
Through our design process we determine the appropriate functions for this
button bar, then our software ensures the button bar appears appear at the
document footer to assist the author. The button bar typically provides
formatting and author-assist information related to the document at hand.

Simplify where to save the document
Removing document naming and saving activities can reduce the
opportunity for errors, but also speed this part of the process significantly.
A further benefit is that to achieve this, the organisation needs to develop a
file naming and document library path standard.
We have also used strategies that utilises the organisation's
Business Activity Classification Schema to determine file save location,
consequently introducing document management disciplines right at the point of
initial document creation.
