Corporate template solution
 

The Office of Local Government’s primary objective is to provide leadership within the State Government by promoting shared strategic directions and effective working relationships between State and Local Government.

The Office of Local Government (OLG) selected eWord Development’s Corporate template solution as a easy to use & administer document preparation environment. A range of business specific documents and form templates were developed to suit OLG’s specific requirements including:

  • Outbound paper based and electronic correspondence

  • Internal administration forms

  • Parliamentary & Ministerial documents

Menu Button
The OLG solution utilised a Word toolbar button featuring the South Australian State emblem to activate the simple template menu system. The menu system provides quick & easy access to the custom templates.

Personal Details
The Personal Details button allows OLG users to quickly enter their details which is then entered under software control directly into the various templates as required. This saves users from the tedious process of retyping their details for every new piece of correspondence they create.

Templates
Selecting the individual template and clicking OK causes that templates to activate.  The adjacent screenshot of the ‘letter’ template user dialog prompts for key pieces of information prior to readying the document for the user.

Outlook Contacts for addressee
The direct interface to Outlook Contacts via the 'Get Contacts' button allows users to search either from a shared 'public' or from their personal Contacts folder.  The matched addressee's details are entered directly into the letter user dialog, with a selection of preformatted salutations also provided for the user to consider.

On-form selections to conveniently add Attachments, Copies and Enclosures also allow for speedier document preparation. Several approved signatory block entries also allow for letter personalisation.

Notice that the dialog provides for different individuals to type, sign, and be the contact officer - and by using drop downs, the person in each of these roles can be quickly selected - significantly speeding this process.
