WILMA Document Printing Solution

Word integration with Oracle; eFoundation & intranet
The South Australian Department of Water Land and Biodiversity (DWLBC)  is responsible for policy and management of South Australia's land and water resources. eWord Development was engaged to design and develop a document preparation and printing solution for DWLBC’s water license management system “WILMA”.

eWord Development’s custom solution uses Microsoft® Word to provide a printing subsystem extension to WILMA that integrates with Prophesy International's eFoundation Framework browser based environment, and the underlying Oracle database to form a powerful print solution for the complex licenses, permits, and other formal documents generated through WILMA.

WILMA Document Printing SolutionSolution Overview
eWord Development’s document printing solution provides a seamless printing experience for the WILMA user, although 'under the hood' it has to perform a complex series of tasks including:

  • The solution detects the user print request and WILMA 'state'.

  • The Oracle database is queried to compile the necessary data for the requested document type.

  • This data is parsed to the local PC as XML

  • The local PC is checked for the most recent copy of the selected Word template
    If not present, this is also downloaded automatically

  • The Word template is launched automatically & retrieves the local user's details

  • The document is generated in Word

  • A water mark banner is added if the document status requires this.

  • The document's metadata is loaded

  • The author is able to add information in pre-determined areas within the document

The Word document templates are carefully engineered to simplify document preparation tasks and improve author productivity.   The template design provides desired levels of flexibility; simultaneously accommodating local customisation within an overall standardised document.  
Based on eWord Development’s Web Templates technology, the WILMA Document Printing Solution provides on-demand updating of templates and associated references while minimising WAN bandwidth utilisation.

1. Seamless integration between WILMA and Word
The printing solution connects to the system’s underlying Oracle database environment to extract and populate application data directly into the Word documents.

2.  Highly functional print capabilities

  • Multiple printer/bin output
    The document printing solution directs individual document pages to specific printers & paper bins to utilise WLBC’s range of pre-printed stationery automatically.

  • Local print configuration
    A local configuration panel accessible via Word allows individual users to select their preferred printers and bins for the range of pre-printed stationery

  • Draft/Copy watermarking under system control
    Drafts and copies of key documents and letters are bannered with the appropriate document status extracted from WILMA.

3.  WILMA sourced data is protected
Information extracted from WILMA is unable to be edited by the author to preserve data integrity, although the author can add comments to allocated areas within the document.

4.  Metadata-based search capability
eWord Development’s solution embeds each Word document with metadata sourced form WILMA to enable convenient and powerful searching to be conducted

5. On-demand updates
Master copies of templates are stored centrally on a intranet server and pushed out to users across the WLBC WAN on-demand. On subsequently uses, the solution confirms the version of the locally cached template and only updates it if required, dramatically reducing WAN traffic and speeding solution operation.

6. Pre-population
The template solution captures user’s preferences and returns these each subsequent time the template is used, speeding over-all document preparation times and reducing user keystrokes.
